Batches, deposits & chargebacks
Follow every dollar from batch to bank.
Settled batches & deposits
Money → Batches (titled Settled Batches & Deposits) is your post-settlement history. Pick a year and you see counters for batches, transactions, sales volume, and funded, then a list of every closed batch with its date, sales, item count, and funded amount.
- 1Click a batch to drill in.
- 2The Matched ACH deposit panel shows the exact deposit that funded it: amount, deposited date, and the Trace number.
- 3The settled transactions list beneath shows what made up that deposit, card by card.
- 4To reconcile your bank statement, match each bank credit to a batch by its deposit date, amount, and trace number.

This report reads live from the processor and is keyed to your account's MID, which your rep sets up. If you don't see data yet, your MID may not be linked; check with your rep.
Chargebacks
Money → Chargebacks has two parts. The top is your dispute cases: each shows a status and, when we need documents to fight one for you, an evidence deadline. Open a case to see what's required, upload your evidence (a signed receipt, delivery proof, a communication log), and even generate a draft response. A banner warns you when a case needs your evidence.
Below the cases, Processor chargebacks & reversals shows the raw settled records straight from the card networks, by year, with reason codes and a net total (reversals credit back). This is the historical record; the cases above are the ones that need action.

Fighting a dispute, step by step
A chargeback isn't a verdict – it's an accusation with a deadline. Every case moves through a clear pipeline: New → Investigating → Awaiting your evidence → Evidence ready → Responded → then Won, Lost, or Accepted (if you choose not to fight). The one status that needs YOU is Awaiting evidence, and the SLA countdown on the case tells you exactly how long you have.
- 1Open the case from the banner or the list. The reason code tells you what the cardholder's bank claims – "product not received," "fraud," "duplicate," and so on – and what evidence beats it.
- 2Upload your evidence: a signed receipt or invoice, delivery confirmation with address, the customer communication trail, your refund policy – whatever answers the specific claim.
- 3Use Generate draft response to assemble your documents and the transaction facts into a rebuttal letter you can review before it goes.
- 4Watch the status. Responded means your package went to the bank; Won returns the money, Lost means the reversal stands.
Prevention beats rebuttals: clear receipt descriptors, fast refunds when something goes wrong, delivery confirmation on shipped goods, and answering customer messages quickly (most cardholders call their bank only after a merchant goes quiet). Every one of those is cheaper than a $25+ chargeback fee and the fight.
Transactions
Transactions is your searchable card ledger – every payment you take, live as it happens. Filter by date range, last four, amount range, type (sale, refund, void, chargeback), and status.
Open any sale here to void or refund it (see the Virtual terminal chapter), and Export CSV or PDF with your current filters for the accountant.
The Reports hub
Money → Reports is one page linking to every report we publish for you, each with a live stat: your current-month statement, statement archive, transactions, batches, chargebacks, and invoices.
It's also where you set Automated email settings: have your monthly statement, batch reports, or gift-card activity emailed to the team members you choose, so the numbers come to you.
There's also an ACH debit alert: turn it on and the people you pick get a heads-up email before your month-end processing fees are debited from your bank account – the same amount shown on your statement, so nothing on your bank statement is a surprise. Multi-location businesses get one email with a spreadsheet listing each location's amount.
